The Players Clubhouse

Privacy Policy

Last updated: November 2, 2026

Short version: We collect what we need to run your golf group: your account, your rounds and scores, and, if you allow it, your location for finding courses and showing distances. We don't show ads, we don't track you across other apps or websites, and we never sell your information.

This policy explains how Dozer Studios LLC ("we", "us") handles information in The Players Clubhouse iPhone and Android apps and at tpclubhouse.com (together, "the app"). Questions? Email tim@dozerstudios.com.

1. Information you give us

Your account

  • Username, email address, first and last name, and an optional display name.
  • Your password. We store it only as a one-way hash, so we can't read it. If you sign in with Apple, we receive your name and email (or Apple's private relay email) and an Apple user ID.
  • An optional profile photo.
  • An optional home location (a city, ZIP code, or your current position), used to suggest nearby courses.
  • Your settings: notification preferences, theme, time zone, and default clubhouse.

Your golf

  • Rounds, scores, and stats (putts, fairways, greens, penalties), plus matches, events, teams, and results.
  • Your handicap, whether calculated in the app, entered by hand, or synced from GHIN.
  • Tee times, your availability calendar, favorite courses, posts, comments, and reactions.
  • Reports you make (what you reported, the reason, and any note) and the members you block.

GHIN (optional)

If you link GHIN, you enter your GHIN number and GHIN password. We use the password once, to sign in to GHIN and get your handicap, and then discard it. We never store your GHIN password. We save your GHIN number and the name, club, and Handicap Index GHIN returns. Each time you sync, you enter your password again.

Information about other people

You can add guests who don't have accounts (name, and optionally email, phone, GHIN number, handicap, and notes) and invite people by email. Please only add information you have permission to share. Anyone you invite receives an email from us with the invitation.

When you contact us

If you email us or send a demo request from our website, we receive what you send: usually your name, email, and message, and for demo requests your organization, role, and phone number if you include them.

2. Information collected automatically

Location (only with your permission)

The app asks for location access only while you're using it, never in the background. It's used for:

  • Finding nearby courses. Your position is sent to our server, which looks up courses through our course-data provider and may use Google to turn coordinates into a place name. It isn't saved to your account unless you choose to set it as your home location.
  • On-course GPS. While you're using the course GPS, your precise position is sent to our server to calculate distances to the green and hazards. We don't save it, and we remove coordinates from our server logs and error reports.

You can turn location off at any time in your phone's settings. The rest of the app keeps working.

Device and app information

  • Push notifications: if you allow them, we store a push token, your device type, and your device model so we can send you notifications.
  • Sign-in sessions: for each device you sign in on, we keep a record with the device name, IP address, and browser or app details so you stay signed in and we can spot suspicious activity.
  • Server logs: when the app talks to our servers, we log your IP address, the address requested (with any location coordinates removed), your user ID and username, device and browser details, and the time. Error records can also include the information sent with the request that failed, with passwords and other secrets removed. We use these logs to keep the app working, fix bugs, and prevent abuse.
  • Error reports: when something breaks, technical details (such as the error and the address requested) go to our error-tracking provider. We don't attach your name or email to these reports.

Cookies and on-device storage

  • On tpclubhouse.com, we use a sign-in cookie (lasting up to 30 days) and a security cookie that protects forms. We don't use advertising or analytics cookies.
  • The app keeps your sign-in securely on your device, and saves scores you enter while offline until they upload. The website saves unsent scores and recent searches in your browser.

What we don't do

The app has no advertising and no third-party analytics. It doesn't use your device's advertising ID, and it doesn't track you across other companies' apps or websites. We don't sell or rent personal information.

3. How we use information

  • To run the app: your clubhouses, tee times, scoring, handicaps, and events.
  • To review reports and keep clubhouses safe: a report, including the reported comment or member, is emailed to us and reviewed by an administrator.
  • To send emails and notifications you'd expect, such as invitations, tee-time reminders, results, and password resets. We don't send marketing emails.
  • To process subscriptions, if you buy one.
  • To keep the app secure, prevent abuse, and fix problems.
  • To answer you when you contact us.
  • To meet legal obligations.

4. Who can see your information

The app is built for sharing golf with your group, so some information is visible to other players:

  • Your clubhouses: members see the member list, activity feed, posts, comments, tee times, availability, and events. Clubhouses that aren't set to private have a public page anyone can visit. It shows the clubhouse, not its members.
  • Rounds: a round's players and scores can be seen by members of the clubhouse it was played in, by the people who played in it, and by anyone who shares a clubhouse with one of those players. Turn off Share my name in round history under Profile → Privacy to hide your name from people you don't share a clubhouse with. Your scores in that round stay visible.
  • Finding players: any signed-in user can search for players by name or username and see their handicap, for example to invite them to a round.
  • Reports and blocks: only you and our administrators see what you report and who you block. We don't tell anyone who reported or blocked them.
  • Scoring for each other: players in the same round or event can enter scores and handicap adjustments for one another.
  • Us: a small number of administrators (today, just the founder) can access account and log information to support you and run the service.
  • Legal reasons: we may share information if the law requires it, or to protect the safety of our users or others. If Dozer Studios LLC is ever sold or merged, user information may transfer to the new owner under this policy.

6. How long we keep information

  • While you have an account, we keep your account and golf information so the app works.
  • When you delete your account, we remove or anonymize your personal information as described on our Delete your account page. Scores from rounds you played with others stay in their history under "Deleted Player", so their results and handicaps remain correct. Data held by our service providers, such as your photo in storage and your website billing account, is deleted right after your account is. Stripe may keep transaction records it's required by law to keep.
  • Server logs, error records, and sent emails are deleted automatically after 30 days. Log files on our servers are kept for up to 14 days. Our hosting provider keeps its own short-term logs under its own policies.
  • Emails you send us are kept as long as needed to help you.

7. Your choices and rights

  • See and correct your profile information at any time in the app, under Profile.
  • Delete your account in the app, under Profile → Delete account, or ask us by email.
  • Get a copy of your information by emailing us.
  • Control notifications under Profile → Notification Preferences, with the unsubscribe link in our emails, or in your phone's settings.
  • Control location, photos, and notifications permissions in your phone's settings.
  • Unlink GHIN by emailing us. We'll remove your GHIN number and the handicap details from GHIN.

Some US states give residents specific privacy rights, such as access, correction, deletion, and opting out of the sale of personal information. We don't sell personal information, and we honor these requests for every user, wherever you live. Email tim@dozerstudios.com. We may need to confirm your identity, and we'll respond within 30 days.

8. Security

We use encrypted connections (HTTPS), store account passwords only as one-way hashes, and limit who can access our systems. No system is perfectly secure, though, so please use a strong password you don't use anywhere else. If we learn of a breach that affects your information, we'll notify you as the law requires.

9. Age requirement and children

The app is for people 13 and older. It isn't directed to children under 13, and we don't knowingly collect information from them. If you believe a child under 13 is using the app, email us and we'll delete the account.

10. Changes and contact

If we make material changes to this policy, we'll update the date at the top and let you know in the app or by email before the changes take effect.
